At GeoPostcodes, a fast-growing Belgian tech company, we are looking for a devoted Administrative Officer to support the Head of Operations, HR and CEO in their operational responsibilities. Main duties include managing payroll, preparing regular reports (e.g. expenses and office budgets) and organizing financial and employee administration. Ultimately, you should be able to ensure our administrative activities run smoothly on a daily and long-term basis.

Responsibilities

  • Administer payroll and payroll-related expenses.
  • Prepare regular reports on expenses and office budgets.
  • Process invoices and follow up with clients, suppliers and partners as needed.
  • Process payments to suppliers.
  • Supports the CEO in scheduling and communication.
  • Track and reconcile credit card and bank transactions.
  • Organize a filing system for important and confidential company documents.
  • Answer queries by employees.
  • Assist in the onboarding process for new hires.
  • Assist in in-house or off-site team activities.
  • Update office and HR policies.
  • Office Management (supplies, correspondence, equipment).
  • Manage contract and price negotiations with office vendors, service providers and office leases.
  • Maintain a company calendar and schedule appointments and meeting rooms.
  • Generate and share monthly business reports with the organization.

Job requirements

  • Loves to put the dots on the i.
  • Knowledgable in Belgian labour law and policies
  • Solid knowledge of office and payroll procedures.
  • Experience with office management software like MS Office (MS Excel and MS Word, specifically).
  • Experience with accounting management software.
  • Strong organization skills with a problem-solving attitude.
  • Part time (4/5) or full time availability.
  • Excellent written and verbal communication skills in English and Dutch or French.
